CRISTY MORRISON: Visit Stillwater wants to help you plan events

STILLWATER, Okla. — Effectively expand the size of your coordinating committee, club, family, or staff by utilizing the Visit Stillwater team – your destination marketing organization.

Because the majority of our clients are located outside the city of Stillwater, we are often an underutilized resource for meeting, conference and event planners within our hometown. We assist with a wide spectrum of different types of events throughout the year; including special events, conferences, meetings, board retreats, family reunions, weddings and cattle shows and sales.

It is the role of a DMO to serve as the local resources for meeting and event coordinators with the goal of assisting them do more with less. We will serve as a hospitality industry resource for the diverse range of businesses, organizations and individuals involved in the visitor development industry.

In this role, the Visit Stillwater team can become the collective marketing vehicle for your meeting or event.

In this role, we are also serving as an advocate for the local tourism industry, as well as a "one-stop shop" for visitors.

The Visit Stillwater sales team utilizes software developed specifically for DMOs and the specific services we provide our clients. We can check hotel availability, distribute meeting specifications to hotels, solicit bid proposals, determine the availability of meeting venues, and compile a list of caterers from which to choose. Our sales team can also coordinate personalized site visits and inspections, suggest spouse and family programs and other activities, and provide transportation options.

An important feature of a DMO from a meeting or event planners perspective is that the DMO’s advice is unbiased in recommending hotels, meeting facilities, and other community services.

The Visit Stillwater team partners with local lodging properties, meeting facilities, event venues, restaurants and hospitality business owners to make sure every meeting, conference and event in our community is a complete success.

Services offered to meeting and event planners include:

• Direct contact with the lodging industry for hotel room blocks

• Comprehensive list of meeting facilities and event venues

• Summary of restaurant’s and caters from which to choose

• Free marketing and promotion opportunities – TV, Radio, Print, Website, Social Media

• Liaison with local civic and service officials

• Complimentary Stillwater Visitor Guides & visitor bags for registration

By utilizing the Visit Stillwater team, you will reduce the number of phone calls, emails, letters, and contacts you would normally be required to make to coordinate a successful, trouble-free event. Chances are our team will even be able to provide you event and meeting options you did not know were available in your very own community.
